Gobblerfest 2013

We will have a table set up for us this year, what we need are volunteers to man the table and talk to the curious people. The event is Friday, September 6th from 4-8pm. Please post here if you can help out.

Also if you're interested in wearing kit please post that as well. (Obviously no guns, mags, etc etc.)

Bump.  This is coming up this friday.  I would like to have a tri-fold board with various pics/info/whatever for the table, as well as a flyer to pass out to those interested.  I believe Kyle plans on doing the flyer, and I think Gene (?) mentioned doing the tri-fold.  I would like anyone and everyone who can make it to please be there, in kit or not, the help would be greatly appreciated.

If you plan on coming please say so, and please post when you could come/if you can't stay the whole time etc.

I'll coordinate with Gene here soon. I will be preparing footage to loop on a laptop. (I won't be there because...you know...wedding). I'm sure Kaleb will have footage too. Plan to have some pics and flyers as well.

Welcome to GobblerFest 2013!
We are excited to have you participate in GobblerFest 2013 – a welcome festival for the Hokie community. Following the success of the first four years of the festival, GobblerFest has again expanded to make room for new participants and even larger numbers of students, VT staff and faculty, and community members.

This year, businesses, non-profit organizations, student organizations, and university departments will be intermingled in a footprint covering roughly all of the Drillfield on Virginia Tech’s campus. We have our largest participation numbers yet for this year’s event, at almost 550 organizations.

The following information will assist you in planning for your organization’s participation in GobblerFest 2013.

PLEASE READ THE ENTIRE E-MAIL

GobblerFest is a Rain or Shine event
While we are anticipating the same sunny and seasonable weather we’ve enjoyed in past years, however, we are planning ahead in case of severe weather.
GobblerFest is a rain or shine event; however, if the weather threatens to be severe, we will make a weather-related cancellation of GobblerFest no later than 12:00 noon on Thursday, September 5, 2013. Please go to the GobblerFest website for the latest weather related information.

Booth space information
An 8x2 foot table will be provided for each booth. Groups should bring their own chairs (if desired). If your organization registered to bring a tent, it must be limited to at most one 10’ x 10’ tent. IF your organization did not register to bring a tent, you will not be able to add one for this GobblerFest. All tents and display items must be within the 12’x12’ space provided per booth. Please be respectful of the booth space area and do not impede access to others. Tent security is the responsibility of the organization. An inspector will be there and can require you to remove your tent if it is deemed unsafe or that the wind conditions make it unsafe to use.

BOOTH SPACE ASSIGNMENTS WILL BE PROVIDED AT CHECK-IN on Fri. Sept. 6.

GobblerFest Check in & Headquarters

GobblerFest Check In & Headquarters will be located on the Drillfield closest to War Memorial Gym (southside of the Drillfield) and will serve as the check-in booth assignment location for all participating organizations. There will be staffing at this table from 1:30 p.m. until 8:30 p.m. GobblerFest Headquarters is where you can direct your questions or request additional help throughout the event.

Student Organizations should check-in after 1:30pm but no later than 3:30 p.m.
Once you check in, you do not have to have someone at the table the entire time, however, your table must be set and have someone there at 3:30pm.

Pre-Registered Student Organizations – Must have someone check in after 1:30 and no later than 3:30pm. There are several student organizations who did not register before the deadline and will be there to participate in “walk up registration”.

AT 3:30pm, that walk up line will be escorted to the back of the student organization check in line. If your organization arrives AFTER that line has been moved over, your organization must go to the back of that line and become part of the walk up registration line. We will assign “no show” tables to the walk up organizations to fill the tables until we have none left.

**The past 2 years we have not had enough tables to accommodate all of the walk up and late check in student organizations.**

Student Organizations are not allowed to sell items at GobblerFest 2013!

Load In
For this event we will have limited load in space on Drillfield Dr. in front of the War Memorial Gym. Organizations wishing to utilize this space must have at least 2 people with the vehicle to allow for unloading and then the driver moving the vehicle as soon as the vehicle is unloaded. NO unattended vehicles will be allowed to remain in the loading zone.
Please do not block traffic around the Drillfield. No private vehicles will be allowed on the Drillfield to load/unload!

Load Out
Please remove all trash and items from around your booth area. Pack up all belongings and move them to the edge of the Drillfield for load out. Again, the drop off area in front of War Memorial Gym will be used for loading. No vehicle may be left, in the loading zone, unattended.

Is anyone able to bring some sort of digital display device? Maybe multiple people? I have videos and pictures and things, but it seems kinda silly to print the photos out when we could just display them on a slideshow or something.

I can bring my monitor it has built in speaks so if you want to play videos people can hear them. My lappy is in limbo right now so someone would need to bring theirs. Oh and Ive only got about maybe 12 - 15ft worth of extension cords and I'm not really sure where the closest outlet will be so if anyone wants to bring some more thatd be great too.

I'm pretty sure there won't be power, which is why I suggest multiple people bring laptops / tablets as batteries die out.

I would like to thank everyone for all of their hard work today (except for Chris Pan.) Sean Hoskins was the all-star of the day and I think we will have a bunch of new people showing their faces here soon. Great job everyone (again, except Chris Pan.)
